Review Schedules

A Review Schedule is an independent object that automatically creates planned reviews at the times you define. This is useful if you want reviews to happen regularly without having to create them manually.

Unlike ad-hoc reviews, schedules ensure that your risk management process remains consistent and aligned with business processes such as audits, compliance checks, or project milestones.

Review schedules can only generate reviews of type Normal or Fields (for field values). :warning: Make sure you are already familiar with the concept of a review before creating a Review Schedule.


Why use schedules?

Many organizations have recurring review needs, for example:

  • Monthly safety checks on operational risks

  • Quarterly reviews of financial risks

  • Annual compliance reviews aligned with audits

By creating a schedule, Riskrunner automatically generates a new planned review at the right time, so you never miss an important update.


Creating a Review Schedule

To create a schedule, go to the Review Schedules tab in the Reviews section and add a new schedule.

First select the date of the first review, then configure:

  • Frequencyonce, daily, weekly, monthly, yearly

  • Day of week — when weekly is selected (e.g. Monday, Tuesday, …)

  • Day of month — when monthly or yearly is selected (e.g. 15)

  • Start date — required (when the schedule becomes active)

  • End date — optional (when the schedule should stop)

When you create a schedule, you become its Schedule owner. You can also assign a Review owner, the person who will be responsible for completing the generated reviews.


Managing Schedules

After creating a schedule, you are taken to a space similar to a planned review.

Adjust schedule settings

From there, you can configure the schedule’s settings and choose the entities to be included in the review. These entities can be updated at any time during the lifetime of the schedule.

Each schedule also tracks the reviews it generates. From the schedule overview you can:

  • Add or update the entities included in the review

  • See the next planned review date

  • Edit, deactivate, or delete a schedule


Example

Imagine you want a review every Friday to check on project risks:

  1. Create a new Review Schedule

  2. Set the start date

  3. Choose Weekly as the frequency

  4. Select Friday as the day of week

Adjust schedule settings

Riskrunner will now generate a new planned review every Friday.


Notes & Best Practices

  • Schedules only generate reviews of type Normal or Fields

  • Use an end date or a set number of occurrences to stop schedules after projects finish

  • For one-time reminders, use the once frequency

  • You can enable or disable email notifications for new planned reviews, either for the Schedule owner or the Review owner

  • You can define the number of days available to complete the review (this sets the due date of each planned review)

  • A forecast of scheduled reviews is visible in the Reviews overview, next to the reviews list
